2018 Mid Year Festival

KEY INFORMATION

The 2018 Mid Year Orientation Festival will take place on Tuesday 24th July (Tuesday Week 1, Semester 2) in the Dining Hall (Level 1, Campus Centre). The festival will open at 11:00am and will close at 3:00pm.

Clubs are now able to complete the online registration to participate in the Mid Year Festival. The final day to submit an online registration is 5pm Friday 6th July 2018.

This year is expected to be bigger than ever, with the use of the Airport Lounge and stage. There are limited places available, but all clubs are encouraged to consider attending.

There are expected to be over 1000 new students on the Clayton Campus following mid year enrolments, who will all be keen to get involved in campus life. Participation in the Mid Year Festival is a great opportunity to sign up new members.

REGISTRATION PROCESS

As with the Orientation Festival, clubs wishing to particiapte in the 2018 Mid Year Festival will need to complete an online registration (via the link below). Ensure that you are also logged into the club's @monashclubs.org account in the same browser. By logging in, you are able to view and update your registration if required.

MID YEAR FESTIVAL BOOKING FORM

Complete the registration form, filling in all the required information. Your club is encouraged to list all activities that it would like to undertake on the day of the Mid Year Festival.

GENERAL INFORMATION

  • All clubs wishing to participate in the 2018 Mid Year Orientation Festival must complete the registration form by the due date.
  • Places at the Mid Year Festival are strictly limited, and completion of this form does not guarantee your club a stall. Registrations will be processed in order of submission. 
  • Under no circumstances are ANY clubs allowed to use chalk or paint on Monash University grounds. Any club found to be doing this will be removed from the festival and will be charged a cleaning fee.
  • Please ensure that you clubs lists all proposed activities it will be running on the day. Please clearly state if you are bringing along any equipment.
  • Confirmation of your booking will occur on or before Thursday 19th July 2018.
  • Clubs wishing a powered site MUST have nominate this when completing the registration form (below). The following items are NOT PERMITTED: Hot Water, Heating, Lighting, Fans, Fridges and other items deemed unreasonable by JOG.
  • Alcohol CAN NOT be served, as this is a dry event. Non-alcoholic drinks must not be served in glass.
  • All sites will be pre-allocated and clubs must have arrived at the festival by 10:45am. Any sites remaining after this time will be allocated to clubs who have been placed on the waiting list.
  • Clubs MUST remain at their stall until 3:00pm and must have vacated the Dining Room by 4:00pm.
  • JOG reserves the right to revoke festival permits if a breach of Festival rules occurs.
  • Under NO circumstances are clubs permitted to bring sponsors/external organisations onto campus OR allow any student group not affiliated with C&S to have a physical presence at a club stall. Any club found to be doing this will be charged the sponsorship rate for the use of their site or may be ejected from the festival.
  • Please note that clubs will not be permitted to play music at their site.

SITE INFORMATION & COMPLAINTS

Site Information

  • Standard Site: 1 trestle table provided.
  • Powered sites are limited, so book early to avoid disappointment.
  • Sites must be left in a clean state at the end of the festival.

Complaints

Formal complaints during the Festival are registered with a member of the Joint Orientation Group (JOG) who will take down details and approach the club/organisation concerned. A meeting of JOG will be convened to deal with serious matters, or the club may be warned. When warned, a second similar infringement of festival regulations (detailed on site permits) may result in revocation of the permit. As organisers of the festival, JOG has the decision-making authority to allocate and revoke site permits.

POWER REQUIREMENTS

Please Note: There is no guarantee that you will have access to a powered site even if you request one.

Powered sites will be pre-allocated as there is expected to be a high demand. To maximise your club's chances of being allocated to a powered site, complete the online registration as soon as practicable.
