C&S Council AGM 03/26 and Executive Elections

The primary business of the meeting is to receive the 2026 Office Bearer reports, conduct an election of the C&S Executive - the positions of C&S President, Vice President, Treasurer, Secretary and 5 General Representatives, and also consider proposed amendments to the C&S Constitution.
The meeting’s agenda will be advised in due course. Any club president wishing to add items to the agenda should forward the details to the C&S Secretary,
secretary@monashclubs.org, by 23:59 on Tuesday 8 September 2026.
Office Bearer Nominations
To nominate for a C&S Executive position, members are asked to view and complete the Office Bearer Nomination Form by
clicking here.
All nominations must be received by 23:59, Tuesday 8 September 2026.
Nominees are encouraged to consider submitting a policy document of up to 500 words in length to support their nomination, noting that this submission is optional.

Not a Top Four Committee Member?
A reminder to all club committee members, following the adoption of changes to the C&S Constitution during the C&S Council EGM 02-26, the eligibility to be elected a C&S Office-Bearer has been broadened to include all voting members of a club committee, not just club office-bearers or those that have commenced their appointment as a club president’s proxy. Further details regarding the eligibility to hold office can be found within clause 9 of the C&S Constitution.
If a non-club office-bearer (i.e non-top four) committee member is considering nominating, please be advised that a copy of either of the following will need to be included with the
Office Bearer Nomination Form:

Club General Meeting Minutes: where the nominee was duly-elected into a voting committee role (during a quorate general meeting); or
-
Committee Meeting Minutes: where the nominee was appointed to a voting committee role (during a quorate committee meeting).
Proposed Constitution Amendments
There are a number of proposed C&S Constitutional amendments that will be considered during the AGM. Clubs are asked to review and consider the following documents prior to the AGM taking place.

Proxy Appointment and Apologies
If the club president is not able to attend the C&S AGM 02-26 they may opt to appoint a valid proxy to attend in their place with this nomination being any ordinary member (Clayton student) of the club that is entitled to vote. The proxied attendee does not need to be a Top 4 committee member.
All proxy nominations must be received no later than 1.00pm, Friday 11 September 2026 in order to be considered.
If no-one from the club is able to attend the meeting, please submit a Council Apology in a timely manner before the meeting. All apologies should be submitted using the formal
C&S Council Apology Form.
Important Things to Note
C&S Council meetings are an important opportunity for clubs to be involved with the future direction of club life at Monash Clayton. We understand that schedules don’t always align but if a club president is not able to attend the forthcoming AGM, before submitting an apology on behalf of the club, why not consider consulting with your committee and club members to determine if anyone is able to attend and represent the club. A suitable club member is encouraged to attend the meeting using the proxy nomination process.
This meeting is expected to go for at least 2 hours, possibly longer. The person attending on behalf of the club (President or valid Proxy) should be available between 1.00pm and 3.30pm. To ensure the meeting begins as close to the scheduled start time as possible, punctual attendance is requested. Registration will begin at 12.45pm.
Failure by a club to be represented at a General Meeting is misconduct under paragraph 55(1)(e) of the C&S Constitution.
