C&S Council OGM and By-Election - 25/03/2026

The Ordinary General Meeting 01/26 of the Clubs & Societies Council has been called for 12.00pm on Wednesday 25 March 2026. The meeting will be held in the Campus Cinema, Building 10, Campus Centre, Clayton Campus and will be held in-person only with no online attendance available.
The primary business of the meeting is to receive the 2026 President and Treasurer reports, conduct a by-election for the office of C&S General Representative (1 position), and also consider proposed amendments to the C&S Constitution.
The meeting’s agenda will be advised in due course. Any club President wishing to add items to the agenda should forward the details to the C&S Secretary,
secretary@monashclubs.org, by 23:59 on Thursday 19 March 2026.
Proposed Constitution Amendments
There are a number of proposed C&S Constitutional amendments that will be considered during the OGM. Clubs are asked to review and consider the following documents prior to the OGM taking place.

click here. Nominees are welcome to consider submitting a policy document of up to 500 words in length to support their nomination, noting that this submission is optional.
All nominations are due by 23.59, Thursday 19 March 2026.

Proxy Appointment and Apologies
Club Presidents may opt to appoint a valid proxy to attend the C&S OGM with this nomination being
any Ordinary member (Clayton student) of the club. To appoint a proxy please click on this link:
Proxy Appointment Form noting that all proxy nominations must be received no later than
12.00pm, Sunday 22 March 2026 in order to be considered.
If no-one from the club is able to attend the meeting, please submit a
Council Apology in a timely manner before the meeting. All apologies should be submitted using the formal C&S Council Apology Form.
Important Things to Note
C&S Council meetings are an important opportunity for clubs to hear about and be involved with the future direction of club life at Monash Clayton. We understand that schedules don’t always align but if a club President is not able to attend the forthcoming OGM, please consider the proxy nomination process and have a suitable club member attend the meeting as an alternative.
This meeting is expected to go for at least 2 hours, possibly longer. The person attending on behalf of the club (President or valid Proxy) should be available between 12.00pm and 3.00pm.
To ensure the meeting begins as close to the scheduled start time as possible, punctual attendance is requested. Registration will be open from 11.30am.
Failure by a club to be represented at a General Meeting is misconduct under clause 38(1)(e) of the C&S Constitution.
